Job Description

About the Role

This individual provides administrative and operational support to the Earlington Operations Center. This role supports daily distribution operations through coordination of work management activities, reporting, billing support, scheduling, and record maintenance. The position works closely with operations leadership, field crews, and support teams to ensure efficient and compliant operations.

Responsibilities

  • Support Work Management Systems, including material reconciliation, requisitioning, billing coordination, recurring work requests, and DARS entry
  • Perform VOLTS time entry for office and crew personnel
  • Monitor monthly budgets, analyze discrepancies, and prepare variance reports
  • Process and track reports related to motor vehicles, tools, PSC, OSHA, and safety
  • Coordinate invoice approvals, expense statements, disbursements, and pro-card reconciliation
  • Prepare and distribute incident reports, investigations, and damage correspondence
  • Maintain Damage Tracking System records and obtain police reports as needed
  • Process streetlight outage requests from municipalities and organizations
  • Develop and maintain reports, schedules, and documentation for performance tracking
  • Maintain employee records including DARs, training records, incident reports, and safety documentation (PeopleSoft entry)
  • Assist with written correspondence to customers, vendors, government agencies, and emergency responders
  • Manage office supplies and support administrative process improvements
  • Prepare and distribute call-in schedules
  • Support scheduling and documentation of meetings and operations center activities
  • Perform additional duties as assigned while complying with all policies and standards

Qualifications

  • High School Diploma or GED
  • 1+ year of job-related administrative or operations experience
  • Comprehensive knowledge of the utilities industry
  • Proficiency with Microsoft Word, Excel, and PowerPoint
  • Strong organizational, verbal, and written communication skills
  • Ability to operate standard office equipment (PC, copier, fax, etc.)
  • Ability to work onsite full-time (7am-3pm M-F)

Preferred Skills

  • Experience supporting utility or distribution operations
  • Oracle experience (preferred, not required)
  • Experience with budgeting, invoicing, and variance reporting
  • Familiarity with work management systems and field operations support
